The 2026 Buyer's Guide to GDPR-Compliant Project Management Software

After Schrems II and the 2025 EU-US Data Privacy Framework challenge, "US-hosted by default" is no longer a defensible choice for EU buyers. We compare nine project management platforms that process EU customer data only in the EU, using the vendors' public documentation and our own product knowledge. Why YourPAZ ranks first

Where the US-hosted incumbents fail the procurement test

monday.com

EU residency is Enterprise-only (custom quote). Starter and Standard tier customers have production data in AWS US-East with Standard Contractual Clauses as the transfer mechanism. For a 5-15 person EU team, the cost of upgrading to Enterprise purely for EU residency is typically a multiple of the YourPAZ Pro all-in cost. Not recommended for SMB EU buyers

Asana

EU data centre option exists only on Enterprise+. Asana Intelligence (AI) is locked to Advanced tier and routes prompts to US-based providers. Sub-processor list includes US data processors that handle customer content. Significant TIA work required for SMB

Notion

A tool can host its application in the EU and still send AI prompts to a US provider. Both flows are personal data flows under GDPR. Verify both before approving.

Frequently asked questions

Is monday.com GDPR-compliant?

monday.com offers GDPR-compatible processing terms and EU residency, but EU data residency is only available on the Enterprise tier (custom-quoted). For Starter and Standard customers, production data is hosted in AWS US-East and you rely on Standard Contractual Clauses for transfer legitimacy — a mechanism that has been under scrutiny since Schrems II. For EU buyers under 100 employees, this is friction; the tool is usable but the procurement conversation is non-trivial.

Is Notion GDPR-compliant?

Notion processes all customer data in the United States, with no EU residency option available at any tier as of May 2026. Notion AI features additionally route prompts to OpenAI and Anthropic in the US. For EU buyers with sensitive data or DPO scrutiny, Notion is difficult to approve without significant legal work.

Which project management tool processes data only in the EU?

YourPAZ, OpenProject (cloud and self-hosted), MeisterTask, Stackfield, Conceptboard, Factro, InLoox, awork, and Zenkit all host production data in the EU with EU-based legal entities. Does Schrems II affect my SaaS procurement?

Schrems II (CJEU C-311/18, 2020) invalidated the Privacy Shield framework, ruled that Standard Contractual Clauses alone are insufficient where US surveillance law permits access to EU personal data, and established that EU controllers must perform a transfer impact assessment for each non-EU data flow. The 2025 challenge to the EU-US Data Privacy Framework re-opened the question. For risk-averse organisations, the cleanest answer is to avoid the question entirely by selecting tools that process EU customer data only in the EU.

What is the best EU alternative to Asana?

For task and project management with a similar UX feel, awork (Germany) and YourPAZ (Netherlands) are the closest like-for-like alternatives. Can I use a US-hosted tool and stay GDPR-compliant?

Yes, in principle, with Standard Contractual Clauses, a documented Transfer Impact Assessment, vendor-side technical safeguards, and an updated Records of Processing Activities. In practice this requires legal effort that small EU organisations rarely have the bandwidth for — and the residual risk does not disappear, only attenuates. Selecting EU-hosted tools moves this category of risk out of the picture entirely.
